Why type an order that already exists?
An order arrives by email. Another lands on WhatsApp after a customer visit. A recurring client uses the B2B portal. Three channels, one identical outcome: someone in the back office retyping information that already exists. This is how distributors move orders from any channel to the warehouse without touching a keyboard.

The problem isn't receiving orders
Most distributors already have plenty of channels: email, WhatsApp, EDI, B2B portals, phone. The real work begins after the order arrives. Read, interpret, type, check, confirm, notify. Repeat.
When dozens or hundreds of orders arrive every day, those manual steps consume hours without creating any value. Customers wait for confirmations; sales representatives have no visibility into what has actually been processed.
Every copy and paste is another opportunity for delay, misunderstanding or error. The most expensive orders are usually the simplest ones.
The channel changes. The workflow doesn't.
Exceptions deserve people. Standard orders don't.
Most orders follow predictable rules: products available, prices correct, credit valid. These orders should not wait in anyone's inbox. They should confirm themselves.
The workflow validates each order in real time and routes only genuine decisions to the operations team:
- An out-of-stock product that needs an alternative
- An unexpected credit block
- A new customer not yet registered in the ERP
- A non-standard price or delivery request
Everything else flows straight through: confirmation to the customer, picking list to the warehouse, tracking updates as the goods move. Proactive communication replaces the three questions every distributor knows: has it been processed, has it shipped, when will it arrive.
The back office should manage exceptions,
not copy data.
Information should flow once: from customer to ERP, from ERP to warehouse, from warehouse to carrier, from carrier back to the customer. Never retyped along the way. The warehouse receives work, not emails: validated picking lists, priorities and special handling instructions that travel with the order.
How it works
From any channel to delivered
One workflow owns the order, every system plugs into it, and information is entered exactly once.
Results
What changes in practice
Data entry
Entered once, everywhere
Orders flow from message to ERP to warehouse without retyping.
Errors
Caught at the source
Codes, prices and credit are validated before anything ships.
Customers
Informed by default
Confirmation, dispatch and tracking updates arrive unprompted.
The best order process is not the fastest one. It is the one where information only needs to be entered once.
